PhysioMatch London ("we", "us", "our") connects people looking for physiotherapy in London with independent, HCPC-registered physiotherapists and clinics. This policy explains what personal information we collect when you use physiomatchlondon.com, why we collect it, who we share it with, and what rights you have over it.

1. Who we are

2. What we collect

When you use the "Get Matched" form, we collect:

Your name, email address and phone number
Your postcode or general area of London
The condition or issue you are looking for help with, such as back pain or sciatica
A free-text description of your symptoms, if you choose to give one
Whether you would prefer an in-person or online appointment
Any other information you choose to include in the form

We also use Google Analytics to understand how people use the site. This only runs after you accept our cookie banner.

We do not send Google Analytics your name, email, phone number, postcode, selected condition, or anything you write in the symptom box. Google Analytics may process online identifiers and usage information, such as the pages you visit and whether you started or completed the form.

3. Why we collect it, and on what legal basis

We use your contact and symptom information for one purpose: to find you a suitable physiotherapist or clinic from our network and pass your details to them so they can get in touch and arrange an appointment.

Some of what you tell us, particularly anything about your symptoms or health, is treated by UK law as "special category data". This needs a clearly stated legal basis.

For your general contact details, such as name, email, phone number and postcode, our legal basis is consent. You give this to us by submitting the form.
For anything about your health or symptoms, our legal basis is your explicit consent. You give this by actively ticking the consent box before submitting the form. The box explains that we will review this information and share your enquiry with a suitable independent physiotherapist or clinic.

Where appropriate, we may ask a HCPC-registered physiotherapist we work with to review the details you provide to help identify a suitable match. This review is part of matching you correctly. It is not a diagnosis, and it does not replace an assessment by the physiotherapist or clinic you are matched with.

4. Who we share it with

We share your details with the specific physiotherapist or clinic we match you to, so they can contact you directly and arrange your appointment.

We do not sell your information, and we do not share it with anyone else for marketing purposes.

We use the following processors to run the site and service:

Replit: website hosting, API hosting and database infrastructure used to receive and store enquiries
Google Workspace: email hosting and communication with users and clinics
Google Analytics: online identifiers and usage information, only after analytics consent, as described in Section 2
postcodes.io: your device coordinates only when you choose "Use my location", so they can be converted to a postcode

5. Not a medical provider

PhysioMatch London is a free matching service. We are not a medical provider and we do not give medical advice.

If you are describing a medical emergency, for example symptoms that could indicate cauda equina syndrome, stroke, or another urgent condition, call 999 or go to A&E. Do not wait for a match.

6. How long we keep your information

We will keep your details for up to 6 months after your enquiry, or until you ask us to delete them, whichever is sooner.

If no suitable match is found, we will delete your details within 6 months.

7. Your rights

Under UK data protection law, you can ask us to:

Show you what information we hold about you
Correct anything that is wrong
Delete your information
Stop using it for a particular purpose
Give you a copy in a portable format

You can also withdraw your consent at any time by emailing harvey@physiomatchlondon.com. If you withdraw consent, we will stop using your information for matching and, where possible, delete it.

If you are unhappy with how we handle your personal information, please contact us first so we can try to resolve it. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.

8. Children and third parties

If you are filling in this form on behalf of someone else, for example a family member, please make sure you have their permission to share their details with us first.

PhysioMatch London is not intended for use by children without the involvement of a parent, guardian or responsible adult.

9. Changes to this policy

We will update this page if how we handle your data changes, and we will update the "last updated" date at the top.
